**Administrators must first set up "Swap & Open Shift Settings" by clicking on "Settings" and then selecting the "Swap & Open Shift Settings"**
In TrackSmart Scheduling, employees can swap shifts with one another on the dashboard.
For the sake of this example, let’s pretend we have 3 characters:
- Manny, the manager
- Alysa, employee A who wants to swap her shift
- Bob, employee B who will have to decide if he wants to switch his shift
Before we walk through how Alysa swaps her shift, here is a quick summary of how shift trading works in Hello Scheduling:
- Alysa creates a swap request, asking Bob if he will take her shift
- Bob can decide whether or not he wants to take Alysa's shift
- If Bob decides that he wants Alysa's shift, the swap request goes to a manager (in this case Manny) for final approval
Alysa logs into TrackSmart Scheduling and clicks the "Swap Shift" button next to her shift.
Alysa finds a shift that she wants to swap with. Bob is currently scheduled for that shift.
Bob receives a notification of the swap request via email, as well in the dashboard area of TrackSmart Scheduling. Here he can approve or deny whether he wants to accept the shift trade with Alysa.
Bob approves or denies the request on his dashboard:
- If Bob accepts the request, a notification will go to Manny the manager to approve or deny the request.
- If Bob denies the request, Alysa will receive a notification that Bob has unfortunately denied her trade request.
And that’s how swap requests work within TrackSmart Scheduling. In summation:
- Alysa creates a swap request, asking Bob if he will take her shift
- Bob can decide whether or not he wants to take Alysa's shift
- If Bob decides that he wants Alysa's shift, the swap request goes to a manager (Manny) for final approval
